ITEMS DISCUSSED

 

1.      1996 Conference Review

 

John handed out a memorandum from Susan Hayes which included a summary of the 1996 conference evaluations. John reviewed the information with the group. Thirty two evaluations were received from the ninety registrants at the conference. A mountain/resort is preferred for next year's conference. The program was highly rated. September was selected as the desirable time of year for the conference. Evaluations indicated that future conferences should have more time for the speakers and more time for questions and answers (30 minutes/speaker x 3 + 30 minutes/questions & answers = 2 hours).

We next discussed the IECA, ASLA, CEMA, & CRA organizations and future outreach to these organizations as hardly anyone from these organizations came to our 1996 conference. We also discussed future interactions with these organizations. These organizations could easily include floodplain management in their conferences. Mark will contact the chairman of each organization and begin to coordinate with them in the area of exchanging newsletters and including CASFM information in their newsletters.
 

2.      1997 Conference

 

John handed out a CASFM 1997 Conference Planning Hotel Selection analysis prepared by Mark Glidden. John reviewed the information with the group and based on the meeting spaces, the room rates, and the overall property amenities it was concluded that we pursue the Vail Cascade Hotel again for the 1997 conference.

The date and days of the week that the 1997 conference should be held were discussed. The group concluded that the Wednesday - Friday schedule is desirable because people don't wish to return to work on a Thursday and would rather enjoy a weekend after the conference either at the mountain resort or at home with their families. Doug will coordinate with Mark Glidden to secure hotel reservations in September 1997 approximately two weeks after the Labor Day weekend.
 

3.      Year End Treasurer's Report

 

Doug handed out the treasurer's report. The 1996 Conference was over budget approximately $1500. The current savings account contains $32.35. The current checking account contains $8,162.81.

 

4.      Stormwater/Flood Committee Review

 

Mike G. handed out a Joint Water Quality/Flood Committee summary of suggestions for future committee meetings as determined at the 1996 Conference. Mike reviewed the handout with the group. Highlights included: full day vs. half day workshops/trips; coop workshop with regional reps.; providing agenda in advance; having different disciplines present topics; have workshops be training sessions; visit multiple sites with multiple topics during the field trips; have trip to community benefit program site; create a phone bank to get people to attend; get new name for committee that reflects interdisciplinary nature of committee; go to other conferences with display table to attract other groups as members.
 

5.      1997 Meeting Agenda

6.      Community Benefit Program

 

Brian Hyde was unable to attend and has also been unable to finish the initial analysis of this program so he could present it to the group. Therefore it was decided that John and Kevin would contact Brian and offer their services to help Brian finish the initial analysis of this program so that it could be presented by Brian at the January 16th general planning meeting. John explained to the group the progress to date on the community benefit program and related insurance concerns. Mike suggested if we go forward with the community benefit program that we work with OEM, CEMA, and other organizations who have previously worked in this area. There was a general concern by those present today about the CASFM membership support of a community benefit program. It was suggested that if the January 16th meeting conclusion is positive, then each CASFM member should be contacted by mail to determine just how much support exists for a community benefit program before proceeding onward.
 

7.      Workshop/Seminar Ideas

 

Mike H. offered to conduct a field trip through Carder Concrete's plant as part of one of the committee field trip programs.

The HECRAS Version 2 will be out in January 1997 and maybe this topic could be included in the 1997 conference for one of the technical sessions.

It was suggested that future local workshops could be video taped and those tapes sent out to other corners of the state for other workshops.

A CLOMR/LOMR workshop was discussed. Dave Guetig offered to teach the workshop as he has numerous resource materials from previous experiences. This idea was discussed in great detail and it was concluded that we should go forward with a CLOMR/LOMR workshop in Greeley on April 17th, another one in Grand Junction on June 19th and another one at next years conference in September. This way any member of CASFM and any adjacent communities could attend one of the locations. It was further concluded that the CASFM organization would invite adjacent communities to these workshops in an effort to provide the communities valuable information and education. In fact this is part of the Community Benefit Program, providing workshops for communities.

It was concluded that Craig Houdeshell, Brian Hyde, Mike Grimm, Dave Guetig and Mark Matulik would work together to put on the first half day workshop on CLOMR/LOMR's in Greeley on April 17th. The workshop would be from 8:30 am - 1:00 pin and include a break and lunch. Craig is to contact a hotel in Greeley and reserve a room for the workshop.

Mark Matulik indicated that he would work with the folks in Grand Junction on a CLOMR/LOMR workshop for June 19th.
 

8.      Membership Renewals

 

Kevin mailed out 1997 invoices on November 1st. Those individuals who just joined the CASFM organization at the 1996 conference automatically become 1997 members. Kevin will do a follow up mailing towards the end of the year.

Walt Pennington needs to coordinate with Mark Glidden to obtain membership renewals which arrive at the CASFM post office box adjacent to Merrick's post office box. Walt is to then record the membership renewals or new memberships and send all "original" membership "forms/invoices" to Kevin for his updating of the membership list.
