The following is a summary of the interactions, comments and future items discussed. While this summary is not intended to represent a complete or comprehensive account of the meeting, it is intended to reflect the salient points raised or issues for further consideration. Should the attendees believe that anything may be misrepresented or misleading, please bring this to the attention of Cindy Thrush, CASFM Secretary.

 

1.         Newsletter Editor Replacement

 

Dan Bare and Kevin Gingery have been working hard at getting out a newsletter.  They have hired a woman named Susan Schlep to assist with the layout and production of the newsletter.  A firm named Broken Hand printing will do the printing.  It was mentioned that Econocopy has done CASFM’s printing in the past.  It was also mentioned that the woman who does the newsletter for ASFPM lives in the Denver area.  Her name is Jackie Monday.  We may consider using her services in the future if this other arrangement does not work out.  The newsletter should go out the first part of June.

 

2.         Workshop & Seminar Scheduling

 

2a.        Floodplain 101 Workshop – Brian Hyde is working on this.  We discussed having another class in Denver as local government staff has changed since the last time the class was offered.  There was some discussion on the workshop content and if the material was redundant.  Also looking for interested communities on the Western slope like the San Luis Valley or Delta/Montrose area.

2b.        October workshop – Craig Houdeshell – still in the works and thinking about topics.

2c.        Other workshop ideas: Nothing was brought up.

 

3.         Secretary Update

 

3a.        No corrections to last meeting minutes

3b.        Membership update: Cindy reported that there are 315 members on the membership list.  The membership renewal reminder notice was sent out and the deadline for people to renew has passed.  The membership list was updated and purged based on the response.  A membership list was mailed to all CASFM members in April.  It was sorted by the region they are located in, and then by last name.  Members were asked to look and their information and send in corrections.  To date there has been 50 members requesting changes of information. 

 

We discussed having CASFM purchase the software needed to keep the database current regardless of who updated it.  The database currently being used is Microsoft Access.  We also discussed having a database of e-mail addresses to send to all members.  A decision will need to be made on which e-mail software program to use and then all the information would need to be entered into the program.  It would be desirable if there was an easy way to transfer the e-mail addresses already entered into the Access database into an e-mail database.  This will need further investigation.  A goal of having this complete within 6 months was set and Dan Bare of Nolte offered his assistance with this effort.

3c.        Mail box update: Nothing new in the mailbox….except a few renewals.

 

4.         Treasurer Update

 

Doug submitted a very comprehensive report.

5.         Regional Representative’s Update

 

CASFMs Happy Hour Social Activities, Doug reported that the next Metro Region social is scheduled for May 18th at Baby Does.  Dr. Bob Jarrett of the USGS will be the speaker.  We had a great turn out and support for the first social.  The NE Region will be having their first happy hour social on Thursday, June 8th from 4:00-7:00 at CB Potts in Ft. Collins.  Dave Hollingsworth passed out the flyer that will be sent to the NE Regional members in the next week or two.  The speaker will be Dr. Larry Roesner of CSU, and he will discuss urban hydrology and water quality.  Bob Soloman reported via e-mail that he is working on setting up a social for his Region.  Kevin has also asked the other Regional Representatives to start working on socials for their areas.

 

6.         ASFPM Update

 

ASFPM has asked through a memo whether we would like to supply mailing labels for their newsletter that will be sent to all CASFM members, or if we would like to do the mailing.  It was decided that it was a lot easier to just send the mailing labels to them and have ASFPM do the mailing and invoice us for the postage.  It was also announced that CASFM’s submittal for the 2000 Local Award for Excellence, the Willow Creek Project received the ASFPM Local Award for Excellence in Floodplain Management.  The award will be given at the annual conference in Austin in June.

 

7.         2000 Conference Planning

 

2000 Conference is August 30th, 31st and September 1st at the Sheridan in Steamboat Springs.  Conference theme is “Storming into the 21st Century”

 

Jamie reported on how the conference planning was going.  She handed out the draft conference brochure and detailed program.  We went through the brochure and made changes.  It was decided to leave the costs for the conference the same.  We also discussed giving the member rate for members of other organizations like APWA as we have been.  It was decided not to offer the member rate to other organizations.  We also discussed giving non-members a membership to CASFM when they sign up for the conference.  The length of this membership was not well defined (i.e. a year from when they sign up, or the rest of the calendar year).  It was also brought up that administratively it has been very difficult to have these people added to the mailing list even when they have signed up.  It was decided that non-members will receive membership for the remainder of the year and we will work to get them all added to the membership database after the conference.

 

Jamie did a wonderful job pulling all this together and the conference brochure should be going out at the beginning of June.

8.         Other Items

 

Kevin brought up the question on officers for the upcoming year.  The Treasurer, Doug Williams, has fulfilled his term (again) and his services have been greatly appreciated.  This issue will need to be further discussed at the next meeting.

 

Kevin will look into having someone do the membership database and membership renewals.  The existing secretary expressed some concern about having to continue to maintain this and the amount of administrative time it is taking.
